OUTLINE OF THE POSITION:
The Administrative Assistant is accountable for providing administrative support and executive level services for the Community Presence Office and staff. Responsible for providing logistical support, managing and preparing correspondence and communications for the Community Director and Chief, liaising with other individuals and groups on behalf of the Community Presence Office and assisting the Community Director with developing yearly workplans, budget and annual report.
The incumbent will prepare correspondence and documents for staff by maintaining a record keeping and file management system for the department, assisting with conducting research, analyzing information and preparing draft reports and recommendations as directed. The Administrative assistant will prepare briefing notes, new hire forms, correspondence, invoices, purchase order presentations, acting as a main point of contact for the Community Director, attend meetings on behalf of the Presence Office as directed, coordinate schedules and book meetings.
EDUCATION & SKILLS REQUIRED:
Diploma in office administration and /or four years of related experience.
Strong problem-solving abilities.
Strong interpersonal and communication skills.
Ability to work with a wide range of different community members and community partners.
Sensitive to the need for confidentiality in dealing with data, records and meetings.
Good computer skills and the ability to establish and maintain electronic databases and filing systems and use Microsoft Office, PowerPoint, zoom and the Internet for research purposes.
Very good organizational and time management skills.
Positive attitude and work ethics.
Ability to speak the Tłı̨chǫ language is strongly recommended.

Outline Of The Position:
The Administrative Assistant ensures the efficient operation of the Department of Culture and Lands Protection (DCLP) by providing front-line reception, secretarial, and logistical support. This role enhances the public-facing experience for visitors while supporting internal staff processes, aligning with the DCLP's mandate to protect Tłı̨chǫ lands, preserve language and cultural practices, and to facilitate research and training.
The incumbent will be the first point of contact for visitors to the department, ensuring a welcoming and safe environment while addressing routine inquiries and coordinating equipment, supplies, and office maintenance. The Administrative also supports internal staff by maintaining departmental calendars, vehicle logs, electronic filing systems, as well as managing purchases and correspondence. The position plays a key role in logistics, organizing travel, accommodations and off-site activities for DCLP staff and community members.
Education & Skills Required:
Experience with office administration and receptionist services (i.e. completed office procedures and/or administration program, or equivalent work experience).
Fluency in Tłı̨chǫ Yatıì is required; training opportunities may be provided to enhance language skills if needed.
Possess cultural awareness and sensitivity, ability to deal effectively and tactfully with staff and the public. Very good interpersonal and communication skills and the ability to work as a collegial and effective team player.
Very good computer skills and the ability to establish and maintain electronic databases and filing systems and use computer programs: Microsoft Office, Excell, Zoom.
Ability to take accurate minutes during meetings, correct inconsistencies and errors.
Good stress management, problem solving abilities and decision-making skills.
Class 5 Drivers License is required.

Under the direction of the Director of the Department of Culture & Lands Protection (DCLP), the Manager of Language Revitalization works collaboratively with all staff of DCLP as needed. The Manager of Language Revitalization is responsible to facilitate the achievement of the language promotion and revitalization goals of the Tłı̨chǫ Government.
The incumbent will Provide direction, management, coordination and support for the promotion of language within the Tłı̨chǫ communities and across Mǫwhì Gogha Dè Nı̨ı̨tłèè, by preparation of strategic plans for language projects and operations, training and educational opportunities and resources and Preparing and monitoring budgets and identifying required financial, capital, and human resources, supervising project delivery including approving operational plans, supervising employees and contractors, and, performing human resource functions including.
EDUCATION & SKILLS REQUIRED:
Certificate and/or Diploma in a related field, and four to six years of related work experience, or some combination of education and experience, knowledge and abilities is required.
Well-developed understanding of the Tłı̨chǫ Government, its programs and services, computer and information systems and budgetary processes.
Strong interpersonal and communication skills and ability to work as part of a team.
Strong project and time management skills and the ability to work in stressful situations.
Ability to understand, speak, read and write the Tłı̨chǫ language is an asset.
Ability to work with diverse stakeholders such as community Elders and youth, staff of the Tłı̨chǫ Community Services Agency, and the Government of the NWT.
Familiarity with the background and content of the Tłı̨chǫ Agreement and Implementation.
